1. Scope and controller
Keystone Global Limited is responsible for the personal information covered by this policy. This policy applies when you use the Keystone Global mobile app, customer portal, website, warehouses, freight and delivery services, payment features, or customer-support channels.
By using these services, you acknowledge the practices described here. Our Terms and Conditions also apply.
2. Information we collect
- Identity and contact data: name, email, telephone number, address, parish, country, TRN, company name, and authorized pickup contacts.
- Account and authentication data: customer or mailbox number, encrypted password, verification status, session and security identifiers, legal acceptance records, and account preferences.
- Shipment and service data: courier tracking and package numbers, shipping marks, item descriptions, values, weights, dimensions, invoices, photos, warehouse and branch activity, prealerts, customs information, delivery instructions, claims, and package status history.
- Transaction data: invoices, charges, discounts, payment method, payment status, gateway reference, receipts, and transaction history. When a hosted payment provider collects card details, Keystone does not receive or store the complete card number or security code.
- User content and communications: support requests, messages, documents, claim evidence, package photos, feedback, and records of service communications.
- Device and technical data: IP address, browser and device type, app or browser version, login activity, diagnostic and security logs, and push-notification device tokens.
- Communication preferences: notification choices, marketing opt-out status, and records needed to honour those choices.
3. Where information comes from
We receive information directly from you, from staff acting on your instructions, and through service activity. We may also receive shipment or transaction information from suppliers, warehouses, carriers, couriers, customs brokers, delivery providers, payment processors, and authorized legacy logistics systems used to fulfil the service.
4. How we use information
- Create, verify, secure, and maintain your account.
- Receive, identify, transport, clear, invoice, store, release, and deliver packages.
- Process prealerts, quotations, payments, refunds, claims, rewards, referrals, and support requests.
- Send account, package, invoice, security, service, and requested marketing communications.
- Prevent fraud, investigate incidents, enforce our terms, maintain audit trails, and protect customers, staff, and partners.
- Troubleshoot, maintain, measure, and improve the reliability and usability of our services.
- Comply with customs, tax, accounting, court, law-enforcement, and other legal or regulatory requirements.
6. Mobile app permissions and notifications
The mobile app may ask for notification permission so it can send package, invoice, delivery, support, and account alerts. You can change notification permission in your device settings.
Camera, photo-library, or file access is used only when you choose to upload an invoice, package image, claim evidence, profile document, or other attachment. The service does not require access to your contacts, microphone, or background location for its current customer workflows. Any future feature requiring additional data or permissions will be disclosed before collection and reflected in this policy and the applicable app-store disclosure.
7. International data transfers
International freight requires information to move between Jamaica, the United States, China, and other locations involved in a shipment. Technology providers may also process data outside Jamaica. We limit these transfers to what is needed for the service and use contractual, technical, or operational safeguards appropriate to the information and destination.
8. Retention and account deletion
We keep personal information for as long as needed to provide the service and meet legitimate security, dispute, customs, tax, accounting, audit, and legal obligations. Retention depends on the record and whether a shipment, invoice, payment, claim, investigation, or legal requirement remains open.
You may initiate deletion from My Account > Privacy and account deletion or use our public account-deletion page. A verified in-app request disables access and marketing messages immediately. We normally delete or anonymize non-required profile data within 30 days. Limited shipment, customs, invoice, payment, fraud-prevention, security, dispute, support, and audit records may be retained where necessary; access is restricted and the profile is anonymized where practical.
9. Security
We use reasonable administrative, technical, and operational safeguards, including access controls, encrypted connections, protected credentials, session controls, logging, and backups. No electronic system can be guaranteed completely secure. Keep your password confidential, use a unique password, and contact us promptly if you suspect unauthorized access.
10. Your rights and choices
Subject to applicable law and necessary verification, you may request to:
- Access or receive information about personal data associated with your account.
- Correct incomplete or inaccurate account information.
- Opt out of marketing messages while continuing to receive necessary service and security notices.
- Withdraw optional device permissions through your device settings.
- Delete your account and personal information that we are not required to retain.
- Ask a question or raise a concern about our handling of your information.
We may need to verify your identity before completing a request and will explain when a legal or operational exception applies.
11. Children's privacy
Keystone accounts and logistics services are intended for adults aged 18 or older. We do not knowingly permit a child to create an independent customer account. Contact us if you believe a child provided personal information without appropriate authorization.
12. Changes and contact
We may update this policy when our services, technology, providers, or legal obligations change. The revised policy will show a new effective date, and we will provide additional notice when a material change requires it.
